BOARD MEETING MINUTES
Noon, Wednesday October 3, 2012
Visitors Bureau Administrative Offices
Present: M Boyette, J Godfrey, H Stump, T Stewart, K Brinson, P Boucher, K Henthorn, C McLamb
Absent: T Godwin, B Dixon, M Patel

I. Call to Order – Mary Boyette
M Boyette called the meeting to order at 12:15 pm and stated that a quorum was present. With no corrections, the agenda was adopted.
II. M Boyette
M Boyette asked for a motion to accept the September minutes that were previously sent to the Board.
T Stewart motioned to accept the September minutes as presented. H Stump seconded. Motion passed unanimously.
III. Finances – D Bailey-Taylor
Month-to-Date Revenue for September was $78,136.70. Month-to-Date Human Resources expenses were $24,291.44. Month-to-Date Operations were $39,604.08. Net Income for the month was $14,241.18. Year-to-Date Revenues were $249,806.63. Year-to-Date Human Resources expenses were $71,772.37. Year-to-Date Operations were $130,920.89. Year-to-Date net income was $47,113.37. The August revenues were $52,374.95. Smithfield’s August Revenues were $14,119.32. Selma’s August Revenues were $7,809.23. Kenly’s August Revenues were $2,693.12. Benson’s August Revenues were $936.86.
IV. Special Projects Committee – T Stewart
T Stewart stated that the Clayton Rotary had sent it the Special Events Grant which the board has agreed to accept late. Discussion was had about the requested amount. It was determined per the guidelines that they were eligible for $250.
J Godwin motioned to accept the grant request in the amount of $250. C McLamb seconded. Motion passed unanimously.
A brief discussion was had about the Capital Grants applications that were due by October 1st. Currently the bureau has two grant applications in hand. The Special Projects Committee will schedule a meeting to view the applications and bring back a recommendation to the full board.
V. Marketing Committee – P Boucher
Highlights from the September Marketing meeting:
- Viewed two videos that have been completed. Next video shoot will be October 10.
- The bureau is in the process of auditing the websites and will be adding travel apps and Gasbuddy.com. Asked the board to review and send in thoughts.
- P Boucher stated the need to send an email blast to the towns to let them know about their websites that are maintained by the bureau.
- Race Day Deals logo and details are complete and posted on the Visit Kenly website.
- D Bailey-Taylor sent out a link to the board for US Travel Reports that are used by the NC Division of Tourism.
- Kenly, Selma, and Benson will be discussing the Endless Yard Sale.
- D Bailey-Taylor stated that JCVB was founded in 1987 and that the bureau would be taking a retrospective look at what the bureau has done.
VI. Sports Council Committee – J Godfrey
The Sports Council Committee will meet the 3rd Wednesday of October. A Astoske is in Detroit for a TEAMS sports association conference.
VII. Staff Report – D Bailey-Taylor
D Bailey-Taylor reported she attended the Tourism Leadership Conference in Raleigh last week and the bureau received 4 awards (two platinum and two gold) at the DMANC Awards Banquet: 2011 Visitors Guide, Girlfriends Getaway Leisure Package, Ava and Frank Festival Leisure Ad Campaign, and the Muscadine Heritage Wine Trail Brochure. Work is ongoing with Ava Gardner Festival which is this weekend, October 5-7 and additionally this weekend will have much to see and do with the BBQ Cookin’ Contest in Clayton and Railroad Days in Selma. D Bailey-Taylor reported having Erin on staff to push out press releases on all these upcoming events has been a tremendous help. Erin has sent out news releases this month on Fall Festivals, Ava Festival, Clayton Harvest Festival, Benson Mule Days, Pretty in Pink Sale at CPO, Boyette Farms Fear Farm, and Muscadine Heritage Wine Trail update.
In addition to the marketing report, D Bailey-Taylor reported the new email blast for calendar of events will be added to the www.johnstoncountync.org website calendar page at the top and changed out each month. And the Hexagon Wake Park and Mule Days have been featured on NC Weekend Now.
